SCOPE: The Plano Independent School District (Plano ISD) is seeking proposals from qualified service providers for the purchase of various types of repair, maintenance, & services for fleet vehicles (van, suburban, truck), trailers, and school buses. Repair, maintenance, and services may include but not limited to paint and bodywork, diagnostics, inspections, towing services, service and repair of engines, transmissions, heating & cooling systems, brakes, tires, upholstery service, and maintenance for fleet vehicles, trailers, and school buses owned by Plano ISD on an "As Needed" basis. Contractor is to provide all labor, material and parts.
This proposal is being issued in accordance with Title 2 of the Code of Federal Regulations (2 CFR) Part 200 requirements to procure vendors who provide goods and/or services purchased by Plano ISD using federal dollars. This proposal may be used with local, state, federal and grant funded programs.
NOTE: This RFP replaces or will replace the following awards:
2018-008 - Collision Repair (Expires October 31, 2023 - no renewals available)
2019-030 - White Fleet Repair, Preventive Maintenance & Inspection (Expires August 2024 - no renewals available)
2022-065 Towing Services (Expires January 2024 - will not renew)
2021-034 - Transportation Shop Facility/Vehicle/Bus Service and Supplies (along with supplementals: 2021-034-S1 and 2021-034-S2) (Expires November 3, 2023- will not renew original or supplementals)

ESTIMATED ANNUAL EXPENDITURE: The estimated expenditure for this district-wide contract is approximately $350,000 annually. However, this estimate should not be construed to be a guarantee of either minimum or maximum since usage is dependent upon actual needs and available funding. This estimate may be exceeded by 25% annually.
TERM:
The initial term of this RFP will be for one (1) year from date of award. This contract, upon the agreement of both the successful vendor(s) and the Plano ISD, will automatically extend for four (4) additional one (1) year periods. This decision will be made in the best interests of Plano ISD. Plano ISD has the option to extend this RFP at the end of the performance period for up to 120 days if determined to be in the best interest of the district to ensure availability of products and/or services.
This proposal will be awarded to multiple vendors, creating an approved vendor list for these categories.
The District may elect to issue supplemental bids and approve additional vendors for the same or similar items/services during the agreement period, if it is determined to be in the best interest of the District. Supplemental bids will have the same RFP number followed by an alpha character and a number i.e. (RFP 2023-11-060-S1).
